Notes from running outbound systems.

Short, practical entries on the parts of outbound that decide results. No trends, no hype—just what we apply in client work.

Field notes

What we keep coming back to.

Targeting

A list is not an ICP

An ICP names the account profile, the buyer role, the trigger, and the reason to talk now. A list is just rows. Write the definition first, then buy or build the data to match it.

Data

Bad records cost more than they save

Unverified contacts drive bounces, bounces hurt domain reputation, and a damaged domain slows every campaign that follows. Verification is cheaper than recovery.

Infrastructure

Never send volume from your main domain

Use separate sending domains, warm them properly, and keep daily volume per inbox conservative. Your company email should stay out of the campaign entirely.

Messaging

Personalization means relevance, not first names

Reference something true about the account's situation. If the same sentence works for every company on the list, it is not personalization.

Replies

Speed decides the outcome

A positive reply is a short window. Answer the same business day, qualify against written criteria, and hand it off while interest is still there.

Handoff

Pipeline leaks at the seam

Most outbound loss happens between reply and booked conversation. Fix routing, scheduling, and follow-up before spending more on volume.
